Provide operational and administrative support to the Human Resources Department with a primary focus on Applicant Tracking System (ATS) support, job description development and maintenance, administrative position onboarding, and coordination of subpoenas and Public Information Requests (PIRs). Serve as a resource to applicants, hiring managers, administrators, and HR staff while supporting accurate, efficient, and timely HR processes.
Education/Certification:
Bachelor’s degree or equivalent relevant HR experience
Special Knowledge/Skills:
Knowledge of applicant tracking systems and online application processes
Knowledge of job description development and maintenance practices
Ability to efficiently analyze, monitor, and improve processes
Knowledge of applicable laws, regulations, policies, and procedures related to Human Resources and the handling of confidential information
Skill in troubleshooting systems and resolving application and user issues
Ability to exercise judgment in solving problems and resolving conflict
Skill in researching, analyzing, organizing, and presenting information
Strong written and verbal communication skills
Strong organizational skills and attention to detail
Proficient in software including Human Resources Information Systems (HRIS), Microsoft Office Suite, and Google Suite
Experience:
Minimum of 3 years of human resources related experience, preferably in a public education setting
Experience with employee records management and compliance
Experience with HRIS and/or budgeting systems preferred
Applicant Tracking Systems (ATS) Support:
Serve as an application specialist for the District’s Applicant Tracking System (ATS), providing support and assistance to applicants, hiring managers, and HR staff.
Troubleshoot application and system issues and assist users with navigating the ATS and completing required processes.
Create, update, and maintain ATS templates, forms, communications, and other system components as needed.
Monitor system processes and identify opportunities to improve the efficiency, accuracy, and user experience of the application and hiring process.
Collaborate with appropriate staff and system support resources to resolve issues and implement system updates or enhancements.
Job Description Development and Maintenance:
Develop, update, and maintain District job descriptions in accordance with established Human Resources processes and standards.
Research comparable positions, responsibilities, and job description practices to support the development and revision of positions.
Work with department administrators and subject matter experts to gather information regarding position responsibilities, qualifications, and organizational needs.
Review job descriptions for accuracy, consistency, clarity, and alignment with District standards.
Coordinate the job description review and approval process and maintain appropriate records of approved job descriptions.
Subpoenas and Public Information requests (PIRs):
Work closely with HR administrators and appropriate staff to collect, organize, and provide HR documentation requested through subpoenas and PIRs.
Occasionally collaborate with the Legal Department regarding subpoenas, PIRs, and related documentation or requests.
Maintain appropriate organization and confidentiality of records and information associated with these requests.
HR Department Support and Coordination:
Prepare Total Team Meeting agendas and provide other meeting support as assigned.
Collaborate with HR administrators and staff on projects, processes, and initiatives within the scope of the position.
Prepare reports, correspondence, documentation, and other materials as needed to support Human Resources operations.
Provide information and assistance to internal and external stakeholders and respond to questions within the scope of assigned responsibilities.
Maintain current knowledge of District processes, systems, and applicable law, regulations, and requirements related to assigned responsibilities
